South East Community Links - Seeking assistance in conducting a Board evaluation in order to develop an improvement plan

The purpose of South East Community Links is to achieve better social and economic outcomes for people in our community. Our Vision is: Every person Counts, Every System Fair.  We came into being in 2015 through an amalgamation of three community organisations that collectively have served our community for 118 years.

With the new Board being in place for one and a half years, we are looking at conducting a Board Evaluation as part of both our commitment to quality improvement and to assist with succession planning. 

Project Summary: To develop and conduct a survey with Board members to identify the strengths of the Board, areas for improvement and skills gaps.  The results would then be fed back to the Board and a facilitated discussions held with them to address any issues raised and to develop an improvement plan which could include Board training and development and succession planning.

What outcome is your project/ organisation looking to achieve?
Outcomes Increase Governance effectiveness through the Board: • Establishing an ongoing method of conducting regular Board Evaluations; • Developing a quality improvement plan to address issues raised through the evaluation; and • Planning for Board succession Success would look like: • A Board Evaluation survey that can be completed and collated electronically is developed that can be used as the basis for regular Board Evaluations • Board members use the results of the Board Evaluation to develop a quality improvement work plan • The Board is able to identify and recruit new Board members to ensure succession planning

What things would you need to put in place to achieve the desired outcome?
• We already have a subscription to Survey Monkey which can be used to conduct and collate a Board member survey. • We already have a list of Board and Board Committee meetings attendance which we think should form part of the evaluation.

What things might you need to develop in order to achieve the above?
We would need to decide if a Board Skills audit is included in the Board survey or is a separate exercise

What are some of the activities you may need to do in order to produce the above things?
• Meeting with Jinny McGrath, SECL Project Co-ordinator, to discuss the project (1 hr) Note:we already have a draft skills survey matrix and draft evaluation questionnaire to form basis of discussion • Possible meeting with members of the Board Governance, Risk and Quality Committee to approve survey (could be done by email) (1 hr) • Design the survey, gain feedback from Board Committee, make amendments (4 hrs) • Construct the survey in Survey Monkey (which we have a subscription to) (2 hrs) • Send the link to all Board Members for them to undertake the survey • Use Survey Monkey to collate the results • Analyse results & prepare a report for the Board (3-4 hrs) • Facilitate a discussion with the Board in respect of: the survey results; key priorities for a Board quality improvement plan; and Board succession planning (2 hrs)

What is your implementation plan for the project output(s)?
• The Board has made a commitment as part of its Charter to undertake an Evaluation at least every two years. • The Board has included Board Evaluation on it’s Annual Board Agenda for 2017 and scheduled a Board meeting on Tuesday 11th July 2017 from 5.30-7.30pm to discuss the outcomes of the Board Evaluation (this date could possibly be changed if Great Connections volunteer not available that day)

Is there a particular time frame or key start date? If yes, please give details
Board Evaluation survey should be completed with enough time for report to be written and presented to Board before the planned Board discussion on 11th July 2017, 5.30-7.30pm. This date could be changed if volunteer unavailable that day..
